It is someone, or something, that answers your business line during the hours you are not at the desk. They greet the caller in your company name, find out what they want, and get the details to you. Some of them will dispatch an on-call technician for you. Some just take a message.

For a long time this meant a call centre. A room of people, a script for each client, and a bill by the minute. That still exists and it still works. What has changed is that the part of the job that is listening carefully, asking the right four questions and writing it down correctly can now be done by software that does not sleep, does not take December off, and does not have a queue at two in the morning when three people call at once.

The part it cannot do is go out and fix the furnace. That is still you.

The on-call rotation is the one that gets underrated by everybody selling software. If you have four techs and one of them can actually drive out at midnight, that is a better service than anything on this page. It needs four techs.

Why do you ask is it urgent or not? Obviously, like, everybody would say it's urgent. Don't you think?

I understand that an AC issue always feels urgent, especially with our Phoenix heat. We ask about urgency to help us understand how quickly you need a technician out, whether it's an emergency, same day, or if you have some flexibility. So for your situation, how urgent would you say it is?

CALLER
It's very urgent.

SARAH
Okay, I understand it's very urgent. To get this taken care of for you, could I please get your full name?

Work out whether you need this before you buy it

Missing calls is a band, not a universal condition. Below roughly five calls a day the phone in your pocket works, and an owner who answers it is giving better service than any of this. Above a certain volume you have already hired somebody. The problem lives in the middle, and every page in this category is written as though everybody is in the middle.

We have our own evidence for where the edges are, from cold calling HVAC and plumbing shops this year. Of eleven companies with under 20 Google reviews, two answered the phone at all. Every single company with over 250 reviews had a receptionist, a gatekeeper or a phone tree. The small ones cannot pick up and the large ones already solved it.

So before you buy anything, count. Take last month's phone bill, find the calls that came in outside your hours, and subtract the ones that were suppliers and robocalls. If what is left is two or three real customers, work out your average ticket and decide whether that is worth $500. Sometimes the answer is no and you should keep your money.

What it will not do after hours

It does not book the appointment. It puts the job on your calendar with the address, the problem and the urgency on it, and you pick the time. An AI that promises a customer you will be there at four has made you a liar for the price of one API call.

It does not text the caller back. That needs a registration on your own number that we cannot do for you. It does not quote a price, promise an arrival time, or invent a warranty policy, because the alternative is worse than silence.

And it only knows two trades. If you run an HVAC company or a plumbing company, it knows what a burst pipe is and what a no-cool call sounds like. For any other trade, buy from someone who has built for you.
